Virtual Clinic Administrator

Overview
We are seeking a highly organized and detail-oriented Virtual Clinic Administrator to oversee the daily operations of our healthcare virtual clinic. This role requires a strong background in medical office management, administrative support, and familiarity with electronic health record (EHR) systems. The ideal candidate will possess excellent leadership skills, experience in healthcare management, and a comprehensive understanding of medical terminology and compliance standards such as HIPAA. As a key member of our team, the Virtual Clinic Administrator will ensure smooth clinic operations, coordinate with medical staff, and maintain high standards of patient care and data security.

Responsibilities

  • Manage all aspects of clinic operations including scheduling, billing, and patient records management using EMR/EHR systems such as Epic, eClinicalWorks, Dentrix, and Eaglesoft.
  • Supervise administrative staff, providing training and support to ensure efficient workflow and compliance with healthcare regulations.
  • Oversee fiscal management tasks including budgeting, financial management, and resource allocation to optimize clinic performance.
  • Ensure adherence to HIPAA guidelines and other regulatory standards related to medical records, data security, and patient confidentiality.
  • Coordinate with nursing staff, physicians, and other healthcare providers to facilitate effective communication and patient care delivery.
  • Monitor clinic performance metrics and implement process improvements for enhanced operational efficiency.
  • Handle human resources functions such as staffing, onboarding, and performance evaluations for administrative personnel.
  • Maintain compliance with JCAHO standards and other accreditation requirements for healthcare facilities.
  • Support practice management activities including utilization management, managed care coordination, and billing oversight.
  • Assist in managing vendor relationships for EMR/EHR systems like eClinicalWorks or Epic to ensure system functionality aligns with clinical needs.

Skills

  • Proven experience in medical office or healthcare management with a strong understanding of practice operations.
  • Proficiency in EMR/EHR systems such as Epic, eClinicalWorks, Dentrix, Eaglesoft, or similar platforms.
  • Knowledge of medical terminology, medical records management, HIPAA compliance, and healthcare regulations.
  • Strong leadership skills with supervising experience in a clinical or administrative setting.
  • Excellent organizational skills with the ability to manage budgets, financials, and human resources effectively.
  • Ability to communicate clearly with medical staff, patients, vendors, and regulatory bodies.
  • Experience in acute care or hospital settings is advantageous; veterinary or dental clinic experience is also beneficial depending on the practice focus.
  • Familiarity with managed care processes and utilization management practices.
  • Technical proficiency in office management software and familiarity with JCAHO standards is preferred.
