Position Summary: Leave of Absence (LOA) Specialist

We are seeking a full-time professional to provide leave of absence administration and regulatory consulting services to our US-based clients. The Leave of Absence (LOA) Specialist is responsible for delivering accurate, compliant, and customer-focused leave administration services to multiple client organizations within a managed HCM services environment. This role supports clients end-to-end through the leave of absence lifecycle, ensuring compliance with federal, state, and local leave laws while delivering a high-quality service experience.

The ideal candidate brings 2–5 years of hands-on leave administration experience, strong regulatory knowledge, and exceptional attention to detail. Success in this role requires the ability to manage multiple clients, navigate complex leave scenarios, and confidently apply leave regulations using a leave administration technology platform.

Essential Duties and Responsibilities:

  • Administer end-to-end leave of absence processes, including intake, eligibility determination, documentation, tracking, and return-to-work coordination.
  • Apply and interpret federal, state, and local leave laws, including but not limited to FMLA, ADA, state family and medical leave programs, military leave, and company-specific leave policies.
  • Ensure accurate and timely processing of leave events in accordance with regulatory requirements and client policies.
  • Monitor leave timelines, certifications, and notices to ensure full compliance and audit readiness.
  • Serve as a trusted leave subject-matter expert for assigned managed service clients.
  • Respond to client and employee inquiries regarding leave eligibility, rights, responsibilities, and status with clarity and professionalism.
  • Proactively identify potential compliance risks and partner with internal teams to resolve issues.
  • Maintain consistent service levels while managing multiple client accounts.
  • Utilize a leave administration technology platform to manage leave data, workflows, notices, and reporting.
  • Ensure accuracy of leave data across systems and coordinate with payroll, benefits, and HRIS teams as needed.
  • Document leave cases thoroughly to support compliance, reporting, and client transparency. Maintain a high level of accuracy in all leave determinations, communications, and system entries.
  • Follow established standard operating procedures while identifying opportunities for process improvement.
  • Support audits, quality reviews, and client escalations as needed.
  • Stay current on evolving leave regulations and best practices.

Qualifications (Knowledge, Skills, and Abilities):

  • 2–5 years of experience in leave of absence administration.
  • Strong working knowledge of FMLA, ADA, and applicable state and local leave laws.
  • Experience supporting leave administration in a multi-client, shared services, or managed services environment preferred.
  • Demonstrated ability to interpret regulations and apply them to complex, real-world scenarios.
  • High attention to detail and commitment to accuracy.
  • Strong written and verbal communication skills with a customer-service mindset.
  • Experience using leave administration technology and HR systems.

Preferred Qualifications:

  • Experience working within an HCM outsourcing, PEO, or managed HR services model.
  • Exposure to state paid family and medical leave programs.
  • Familiarity with HRIS, benefits administration, and payroll integrations.
  • Certification or coursework related to leave administration or employment law (e.g., FMLA certification).

Compensation & Benefits:

The hourly range for this position is $28.80 - $36.05. This range is based on relevant experience, skills, qualifications, and market data, and represents our good faith estimate at the time of posting. We offer a comprehensive benefits package including health insurance (medical, dental, vision, and life), voluntary benefits, pet insurance, retirement plan, and PTO.
