BASIC PURPOSE: Assist the Sr Vice President of Supply and Trading and his direct reports in addressing and resolving diverse and advanced administrative duties, tasks, projects and problems. Must be an adaptable self-starter with ability to work independently and with co-workers. Must be resourceful, have ability to use good judgment, possess knowledge of business etiquette, and be skilled in anticipating executive needs at a management level. Must be able to prioritize work, solve problems and organize own time with minimal supervision.

 

MAJOR RESPONSIBILITIES:

  • Responsible for heavy calendar management, requiring interaction with both internal and external executives and assistants, as well as consultants, to coordinate a variety of complex executive meetings.
  • Assist in the timely management of all communications with a variety of people, whether written, via telephone, or e-mail.
  • Compose agendas, presentations, letters and statements; monitor and follow-up with all distributions that require answers, responses and written replies.
  • Demonstrate a high degree of professionalism, initiative and independence in supporting a wide variety of complex issues among diverse groups of people within the organization.
  • Work independently or assist in gathering and analyzing data and assembling it appropriately for use in meetings or presentations.
  • Act as a “solution finder”; chasing down problems, determining root causes, and putting permanent solutions in place.
  • Coordinate interactions with supplier partners including off-site event planning and preparing meeting materials.
  • Coordinate trading department functions such as department meetings, training opportunities, new hire programs. 
  • Perform various cost tracking administrative functions and analysis.
  • Assist in compliance with and inquiries into various corporate guidelines, policies and procedures.  
  • Oversee processing of department invoices and expense reports as needed.
  • Maintain data and files as assigned.
  • Meet daily, weekly and monthly deadlines.
  • Other functions and duties as assigned. 

 

EDUCATION AND EXPERIENCE:

Education:

  • High School diploma or equivalent required.
  • Bachelor’s degree preferred.

Experience:

  • 5+ years’ experience in an administrative related field.
  • Proficiency in Microsoft Word and PowerPoint required.
  • Experience with scheduling travel, note taking, and email management required.
  • Experience supporting executive level leadership preferred.

  • Soft Skills: Strong oral and written communication skills, keen attention to detail and organizational skills, research and follow-up skills, customer focused, team player, and the ability to work independently and deal with confidential information. 

Typical Physical Demands:

  • Requires prolonged sitting, some bending and stooping.
  • Occasional lifting up to 25 pounds.
  • Manual dexterity sufficient to operate a computer keyboard and calculator.
  • Requires normal range of hearing and vision.
